You might be writing the church newsletter right now. Or perhaps you are drafting an email to ministry leaders with materials that they will need much later, during budget prep season.

Picture it... Saturday afternoon, between the grocery store and somebody's game, you've got the time to get the work done because Saturday afternoon is what there is. Or it's Sunday night, after the house has finally gone quiet. Or 10:40pm on a Tuesday, because that's when you remembered. *We've all been there!*

You send it the minute you finish, hoping it gets read Monday morning.

Those aren't the same moment, and the space between them is where an important announcement quietly disappears. An email that goes out at 11:00PM on Saturday night is buried under a whole weekend of sale flyers by the time anybody opens thier inbox. The person you wrote it for never sees it, and you never find out.

Here's the good news: your email doesn't have to leave the minute you finish it. You can tell it when to go.

## Where is that button?

Every email program has a way to hold a message and send it later. It takes about four seconds once you know where to look. Finding it is the only hard part.

### Outlook

Write your email the way you always do. Then click the tiny **arrow beside the Send button** and choose **Schedule send**. If you don't see an arrow, look under **Options** for **Delay Delivery**. Pick the day and time, then click Send.

*One caution: With some versions of Outlook, the computer has to be on and Outlook has to be open at the time you picked, or the email sits until the next time Outlook is opened. If you're not sure which you have, the quick test below will help.*

### Gmail

Click the **small triangle beside Send** and choose **Schedule send**. Gmail sends it for you even if your computer is off, so you can close everything and go to bed.

### Apple Mail

On a Mac, click the small arrow beside the send button and choose **Send Later**. On an iPhone, press and hold the blue send arrow.

### On your phone

Most mail apps hide it in one of two places: press and hold the send button, or tap the three dots at the top of the message. Look for **Schedule send** or **Send later**.

## Try it first on yourself!

The first time, send one to yourself and set it for '10 minutes from now'. Go get a glass of water, do something else for a bit and watch it arrive. Once you've seen it work, you'll trust it, and trusting it is really the whole thing.

## It's still yours until it goes

This is the part people like best once they find it. A scheduled email hasn't gone anywhere yet. Until the time you picked, you can open it back up, add in the info you remembered in the shower, change the day, or decide not to send it at all.

Gmail keeps them in a folder called **Scheduled**. Outlook usually keeps them in your **Outbox** or your **Drafts**.

Think of it as a Saturday draft with a Monday deadline, and a little grace period between.

## When it should arrive

For most church office mail going to others in church work/ business, aim for **Monday or Tuesday, between eight and ten in the morning**. That's when most people sit down with their coffee and actually read, instead of skimming their phone in the checkout line. For your pastor, skip Monday entirely if it's her/his day off. (Most pastors take Monday's off.)

Skip Friday afternoon for anything that needs an answer. It gets read, set aside for later, and found again three weeks after the fact. For emails about specific things/ too the church membership, start looking for the rhythm of the congregation. *Ex. I tend to send weekly e-blasts in my community on Wednesday before the scheduled Zoom Bible Study. The reminder (and link) are timely to join the session starting that evening.*

And if you send the same note every week, send it at the same time. People learn the rhythm quickly, and a note that always shows up Monday morning starts to feel like part of the week instead of one more interruption.

## What this really accomplishes

It would be easy to call this a time-saver. It isn't, really.

The people who keep churches running mostly do it around the edges of other jobs and family obligations. Nobody is giving us more hours, and scheduling an email doesn't make any new hours.

What it does is help you keep your evenings to yourself.

It also does something quieter. The timestamp on an email teaches people things nobody meant to say. When the church's emails show up at eleven at night, people learn that the office is open at eleven at night. No one decides that on purpose. It just settles in, a little at a time, and before long the texts and questions start arriving at that hour, too.

When the newsletter arrives Monday at eight instead, it teaches something better: the office keeps hours, and the person in it has a life. Nobody feels they have to answer late, and nobody expects her to, either. She does the work when she can, and it arrives when it should. Nobody has to know she did it in her pajamas.

That's a small dignity. And small dignities are most of what make a person want to keep showing up.

## A few more places it helps

- **Birthday and anniversary notes.** Write the whole month in one sitting and schedule each one for its day. Every note arrives right on time, and nobody gets missed.
- **The morning-of reminder.** The note about Wednesday night Bible study should arrive Wednesday morning, not Sunday, when nobody will remember it.
- **The note you're not sure about.** Schedule it for tomorrow morning and sleep on it. If it still reads right at breakfast, let it go. If it doesn't, you still have time.

It's all the same idea: do the work when you can, and let it show up when it should.
